ALLY K. RN, BScN

Ally is a naturalist and focuses on enhancing each client’s natural beauty. After 12 years in emergency medicine, she transitioned to medical aesthetics, specializing in undetectable injectables and facial balancing. A passionate educator and experienced industry trainer, Ally has trained alongside Galderma Canada and is dedicated to advancing the art of aesthetic medicine through education.

MEDICAL DIRECTOR

DR. NATHAN K. MD CCFP BSc

A born and raised Calgarian, Dr. Kroeker completed medical school and his general practice residency at the Cummings School of Medicine at the University of Calgary. Previous to becoming a physician, Dr. Kroeker had a 10-year paramedicine career. He currently practices in rural and emergency medicine. Trained in facial ultrasound, he ensures our patients’ safety always comes first.

Born in the Philippines and raised in Calgary, Leann discovered her passion for aesthetics through her own skin journey and first facial experience. Clinic Operations Manager

Aisthetikos Wellness & Medical Aesthetics is looking for a thoughtful, organized, and motivated Operations Clinic Manager to join our growing team in Marda Loop, Calgary.

Voted Top Medical Spa in Calgary 2026 and the biggest provider for biostimulators in Central/Southern Alberta we are known for exceptional patient care, clinical excellence, education, and a highly personalized patient experience.

The Role
The Operations Clinic Manager plays a key role in the day-to-day operation of the clinic while helping strengthen the systems, processes, and team culture that support our continued growth.

You will work closely with clinic leadership, practitioners, administrative team members, vendors, and external partners to help ensure the clinic operates smoothly, communication remains strong, and both patients and team members feel well supported.

The ideal candidate is proactive, collaborative, highly organized, and comfortable balancing daily operational needs with longer-term projects and business priorities.

This role offers meaningful opportunity to grow alongside the clinic and contribute to the next stage of Aisthetikos.

Key Responsibilities Clinic Operations

  • Coordinate the smooth day-to-day operation of the clinic
  • Support staff scheduling, coverage, meetings, and operational priorities
  • Maintain and improve clinic systems, workflows, checklists, and processes
  • Identify opportunities to improve efficiency and patient experience
  • Coordinate clinic projects, promotions, events, launches, and training days
  • Support inventory management, ordering, vendor coordination, and supply organization
  • Maintain compliance with industry regulations and support clinic safety and quality standards
  • Help ensure clinic policies, procedures, and operational standards remain current and consistently implemented

Patient Experience

  • Help maintain a consistently warm, polished, and professional patient experience
  • Support the team with patient questions, concerns, and follow-up
  • Ensure calls, emails, inquiries, and other communications are handled thoughtfully and in a timely manner
  • Help identify opportunities to improve the patient journey
  • Support service recovery and problem-solving when challenges arise
  • Help ensure a consistently high standard of patient care across the clinic

Team Support & Leadership

  • Act as a supportive operational resource for the clinic team
  • Help onboard new team members and coordinate training
  • Support clear communication around clinic policies, workflows, priorities, and expectations
  • Help foster a collaborative, positive, and accountable team environment
  • Coordinate team communication, meetings, and operational follow-up
  • Assist leadership with performance tracking, KPIs, and operational reporting
  • Support a workplace culture built around teamwork rather than competition

Business Development & Partnerships

  • Help coordinate communication with vendors, partners, contractors, and industry representatives
  • Build and maintain relationships with industry professionals and local businesses
  • Identify potential partnership, sponsorship, and community collaboration opportunities
  • Support clinic events, brand initiatives, and local outreach
  • Assist with recruitment, interview coordination, onboarding, and employee documentation
  • Work collaboratively with bookkeeping, payroll, marketing, medical leadership, and other external professionals as required

Qualifications

  • Previous experience in clinic management, medical office administration, operations, hospitality management, or a similar role preferred
  • Medical aesthetics, healthcare, wellness, or luxury service experience is an asset
  • Relevant post-secondary education in business, healthcare administration, human resources, management, or a related field is an asset
  • Experience supporting or leading a team
  • Strong written and verbal communication skills
  • Excellent organizational and administrative skills
  • Comfortable learning and managing clinic software and digital systems
  • Experience with scheduling, POS, CRM, or practice-management software is an asset (Zenoti)
  • Strong proficiency with Apple, Google Workspace and/or Microsoft Office
  • Ability to handle confidential information professionally

Responsibilities

  • Conduct comprehensive aesthetic consultations
  • Develop customized treatment plans that prioritize natural, balanced results
  • Perform injectable treatments including neuromodulators, dermal fillers, biostimulators, and other advanced injectable procedures
  • Provide exceptional patient education and follow-up care
  • Maintain thorough and accurate medical documentation
  • Collaborate closely with our team of nurse injectors and medical aestheticians to deliver an exceptional patient experience
  • Build and nurture long-term patient relationships
  • Create authentic educational content for your professional Instagram account
  • Continue developing your knowledge through ongoing education and advanced training

Qualifications

  • Current Registered Nurse (RN) license
  • Minimum 2 years experience as an aesthetic Nurse Injector
  • Advanced knowledge of facial anatomy
  • Experience treating with a variety of neuromodulators, fillers, and biostimulators
  • Independently perform treatments with cannula proficiency
  • Strong consultation and communication skills
  • Excellent clinical judgment and attention to detail
  • Passion for providing ethical, patient-centered care
  • Experience building and maintaining a loyal patient base is considered an asset
